When a business decides to implement ERPNext, one of the first questions we often hear is:

“When can we see the system?”

It is a fair question. The team is ready, expectations are high, and naturally everyone wants to start seeing screens, workflows and reports.

But a successful ERPNext implementation shouldn't really start inside ERPNext.

It should start with understanding the business.

Before configuring a Sales Order, we need to understand how an order actually reaches the company.

Before setting up Purchase, we need to know who requests materials, who approves them and how goods are received.

Before configuring Manufacturing, we need to understand how production actually happens on the shop floor.

That is why we look at ERPNext implementation as a business process exercise first and a software implementation second.

What Does an ERPNext Implementation Actually Involve?

While every organisation is different, a structured ERPNext implementation normally follows a journey like this:

Process Study → SRS → Configuration → Customisation & Integration → Data Migration → Training → UAT → Go-Live → Support

Each stage has a purpose, and skipping one can create problems later.

1. Process Study – Understand Before You Configure

Every organisation has its own way of working. Some processes are properly documented. Others depend on Excel sheets, emails, phone calls, WhatsApp messages or simply the experience of a few employees.

Before deciding how ERPNext should work, we need to understand:

  1. How does the process work today?
  2. Who performs each activity?
  3. Who approves it?
  4. Where are the delays or manual dependencies?
  5. What information and reports does management need?
  6. What happens when there is an exception?

One question is particularly useful:

“Why are we doing it this way?”

Sometimes there is an important business reason.

Sometimes the answer is simply, “We have always done it like this.”

2. SRS – Converting Business Requirements Into a Solution

Once the processes are understood, we prepare the System Requirements Specification (SRS).

The SRS creates a common understanding between the customer and implementation team about what the system is expected to deliver.

This is where requirements are classified properly.

Some are already available in standard ERPNext.

Some need configuration.

Some require workflows or reports.

Some genuinely need custom development or integration.

And sometimes, instead of customising ERPNext, the better option is to simplify the business process itself.

Getting this clarity early helps prevent one of the most common problems in ERP projects:

“We thought this was included.”

3. Configuration Before Customisation

Once the requirements are agreed, ERPNext can be configured around the approved business processes.

This may include company structures, Chart of Accounts, warehouses, taxes, masters, roles, permissions, workflows, approvals and module-specific settings.

One principle we strongly believe in is:

Don't customise something simply because you can.

ERPNext and the Frappe Framework provide enormous flexibility. But that doesn't mean every existing manual process should be recreated exactly inside the ERP.

If standard ERPNext provides a good process, we first evaluate whether the business can adopt it.

Customisation should solve a genuine business requirement.

4. Customisation & Integration – When the Business Needs More

Not every organisation can operate entirely with standard ERPNext.

There may be genuine requirements for:

  1. custom workflows and DocTypes
  2. specialised reports and dashboards
  3. approval logic
  4. industry-specific processes
  5. mobile applications
  6. customer, dealer or vendor portals
  7. API integrations
  8. third-party applications

The question shouldn't simply be:

“Can ERPNext do this?”

The better question is:

“What is the right way to solve this requirement using ERPNext?”

Sometimes it's configuration. Sometimes customisation. Sometimes integration.

And sometimes the right answer is to change the process rather than develop anything.

5. Data Migration – Start With Clean Data

Eventually, the new ERP needs real business data.

Depending on the agreed scope, migration may include customers, suppliers, items, employees, opening accounting balances, opening stock and specifically agreed historical information.

Data migration often exposes problems that existed long before the ERP project started — duplicate customers, inconsistent item names, incomplete masters and different coding structures.

An ERP can only work with the information it receives.

So preparing and validating data is just as important as uploading it.

6. Training – Teach the Process, Not Just the Screen

Training shouldn't simply be:

“Click here to create a Sales Order.”

Users should understand the complete process.

What happens before their transaction?

What happens afterwards?

Who receives the next action?

What happens if something goes wrong?

Users adopt ERP much faster when they understand why they are doing something, rather than simply memorising where a button is located.

7. UAT – Test the Business, Not Just the Software

User Acceptance Testing is where assumptions meet reality.

Instead of checking whether individual screens work, users should test complete business scenarios.

For example:

Quotation → Sales Order → Procurement/Production → Stock → Delivery → Invoice → Payment

Then test exceptions.

What happens when stock isn't available?

What happens when an approval is rejected?

What happens when material is returned?

What happens when production quantity changes?

The objective is simple:

Find problems before go-live, not after it.

8. Go-Live – When the Real System Begins

Go-live is an important milestone, but it isn't the end of an ERP implementation.

Once users start entering live transactions, questions appear that may never have come up during training. Reports are viewed differently when they contain real numbers. Some processes may need clarification.

This is why the initial post-go-live period requires close coordination.

Over time, the questions reduce, users become comfortable, departments begin depending on the system and management starts looking at ERP reports instead of asking someone to prepare another Excel sheet.

That's when the implementation starts delivering its real value.

9. Support & Continuous Improvement

Businesses continue changing after ERPNext goes live.

New products are introduced. Teams grow. Approval structures change. New locations open. Other applications need to be integrated.

ERPNext should evolve with genuine business requirements.

Post-go-live support can therefore include issue resolution, user guidance, process improvements, reporting, integrations and future enhancements.

The objective isn't to keep changing the ERP.

It is to make sure the ERP continues supporting the business.
